The General Terms and Conditions of working with Full Stop Social Media. The following describes our services so you can know what to expect during the course of our engagement.

Scoping
We scope for the 6-month #GetTonguesWagging Campaign to the best of our knowledge of the services you require, based on our initial conversations. At any stage we may need to review the scope to ensure we can provide you with a service that helps you to achieve your goals. Our scope may increase or decrease. We will discuss this with you at the time.

Strategy Sessions
Before we start a social media campaign, it is a requirement that we hold a strategy session as this is the time where we agree goals and workshop what the 6 month campaign will entail. Without this, there can be misaligned expectations which ultimately leads to dissatisfaction. Before we facilitate your strategy session we will require access to your:
• Social media ad accounts (e.g. Facebook Ad Manager)
• Social media accounts
• Google analytics
After the strategy session, we will present the strategy document for approval. This is to be approved in writing before we proceed with social media management or ad management. We require an upfront payment be made in full for our strategy sessions. This is to be paid prior to our strategy session taking place. At any time we reserve the right to review the strategy, based on the results that we are seeing. Where this is the case, we will present a quote for your consideration.

Weekly Check-ins
We check-in every Monday (or Tuesday where a public holiday falls on a Monday) to get an update on business activities. This is an important conversation because it helps us to shape the content for the week ahead. Where we can’t make a check-in, which happens from time to time due to unforeseen circumstances, we will endeavour to let you know, and we will find another time for this call.

Content Creation and Approvals
We create content after on Friday, and we revise this as required after our weekly check-in on Monday. We then submit it for approval on Monday afternoon (or the next day after a Public Holiday) so we can schedule on Tuesday. Where we don’t receive the inputs or content approval by Tuesday 12pm we are not obligated to schedule the content for the week. The only exception to this is where we are waiting on content to come through from third parties such as photographers and videographers. Where this is the case we will submit for approval at the time that the content comes through.

Content Sourcing

We may require content sources to be nominated from with your team. Where this is the case we will need to spend 30 minutes with them after the strategy session, so we can talk them through what’s involved and their role. As we can’t know who these people are until during the strategy session, this time will be over and above our strategy session fees. $100 + GST per half hour. On occasions, we may use Sourced Content or User Generated Content for social media posts. This is a legitimate form of content sourcing. We will always do our best to inform the original source of our intent to share. And we will always credit the source.

Content Scheduling and Publishing
We schedule on Tuesdays or Wednesday where there is a public holiday on a Monday.
We use the scheduling following tools, the cost of which is included in our monthly retainer:
• Facebook Scheduler
• Iconosquare
• LinkedIn directly
Importantly, Instagram Stories and other ephemeral channels require publishing content at the time. They can not be auto-scheduled. We do our very best to be as close to this time as possible, although on occasions we may need to post slightly earlier or later. Where we are required to use other scheduling tools our weekly retainer may vary.

Account Monitoring
We monitor social media accounts Monday to Friday 8am to 6pm (not including public holidays). We do our best to respond within the 2hours but this isn’t always possible, given our availability throughout the day. Where you need service over and above this, we can scope as required. Comments made on the posts or content we have not created or scheduled are not included in our account monitoring scope.

Social Media Ad Management
We will develop a social media ad strategy which will be agreed as part of the initial strategy session, and this will include your agreed weekly / monthly ad budget. This will be documented in your budget manager tool, implemented for 6 months, and then reviewed at the end of 6 months. Before starting ad management, we require written confirmation of the weekly ad budget, for each ad type. Also, we require access to your Facebook Ad Manager account. Where FLAMANKO is to pay your ad expenses, reimbursement will be sought at the end of the month. This will Incur a 20% administration fee.
Our Social Media Ad management occurs every Wednesday unless negotiated otherwise. On this day we review all of your ad types to determine their effectiveness in achieving our goals. We use Dash This as our reporting tool. Where we are required to use other tools, this may incur other charges. We send our review results and optimise the ads to see continuous improvement in the areas of Cost Per Conversion.

Video and Photography
We prefer to work with our freelancers as they are reliable for timely and quality delivery. However, where you have existing relationships with creatives (eg photographers or videographers) we are happy to work with these people also. As we likely haven’t worked with them before, we can not guarantee the timeliness or quality of their work.

EDMs

We use Mailchimp for EDM creation. Where you require us to use another application this may incur additional expenses.

Influencer Marketing and Activations
Our influencer activations occur on Tuesdays. Our weekly / monthly activity will depend on the scope that we have agreed. Where we need to send product out to influencers, we can only be responsible for initiating the order. We can not be responsible for its distribution, and while we will do our best to ensure influencers share content, please be aware that there is only so much we can do.

Monthly Reporting
We run reports as close to the end of the month as possible. Sometimes this is difficult where the end of the month coincides on content planning, scheduling or ad management days (Monday’s, Tuesday’s Or Wednesday’s).

Account Management
We will assign you an account manager who will be your single point of contact for all questions and enquiries related to your account. When this person goes away on holidays, account management will fall to the Director.

Annual Leave / Christmas Holidays
We will plan content before holidays are taken. While leave is being taken the director will be your primary point of contact.

Results
Our results are directly impacted by the extent to which we are able to implement our #GetTonguesWagging strategy which we will develop with you at the outset of our engagement. Where we can not implement our agreed strategy in full, we can not guarantee optimal results. For example, if the ad budget decreases, or if we are required to post content that is outside of what was initially agreed, this can have a major impact on following, engagement, and conversion results.
We commit to doing everything in our power to achieve consistently above benchmark results, we can not be held fully accountable for the social media results as there are a range of variables that can have a direct impact on this.

Invoicing
We invoice in 4-week cycles for our social media management services, and these are to be paid via Integrapay within 7 days of the invoice being issued. For all other services, the terms of payment will be described within our proposal.
